Prospecting OS
The full manual. Everything in order, in plain language, written for a working agent rather than a technical one. Print it and keep it beside you if that helps: use your browser's print option and it will lay out cleanly.
What this is
Prospecting OS is an assistant that works the book of business you already have. Every morning it answers your new leads, reconnects the ones that went quiet, and keeps your past clients warm.
It writes in your voice, as drafts. You read them and hit send. Nothing leaves your inbox without you.
Who it is for: a Compass agent who has already built their AI OS and wants the same assistant pointed at their pipeline.
The one prerequisite: your AI OS and your Constitution need to be finished first. Everything below assumes they are.
Before you start
A paid Claude plan
Pro or higher. The Opus model is paid only and it is the one that runs your setup. On the free plan this cannot run. Upgrade at claude.ai/settings, then quit and reopen the Claude desktop app.
Your AI OS, finished
Including your Constitution. Prospecting OS builds on it, which is why this install is short. Your Voice file carries straight over rather than being rebuilt.
What to have to hand
Your Compass login. Your Google sign-in, the same account where your clients email you. About 20 minutes start to finish. Most of that is Claude working while you watch.
The install
Six small things. Claude does the rest. About 20 minutes start to finish, most of it Claude working while you watch.
Download the file, and do not unzip it
Get it from the home page of this site. Leave it exactly as it downloads, sitting in your Downloads folder. This is the step people get wrong: there is nothing to extract, nothing to open, and no folder to make on your desktop. Claude opens the file for you.
Open the Claude desktop app
The app on your computer, not Claude in a browser tab. If you do not have it, go to claude.ai/download, install it, and sign in with the account where you connected Gmail during your AI OS setup.
Make a Project called Prospecting OS
In the left sidebar, click Projects, then New Project. Name it exactly Prospecting OS.
A Project is a saved workspace. This one is your office: your database, your Voice file and your dashboard all live inside it, and every conversation you have about prospecting happens here. You never need a second Project and you are never sent to a different chat.
Add the downloaded file with the + button
Inside your new Project: click + in your message box, click Add files or photos, then pick the file you downloaded in step 1. Just this one for now. Claude asks for your Compass contacts later.
If Claude says files are missing, it just did not attach. Add it again the same way and you are fine.
Set the model to Opus, then say the sentence
Use the model picker near the message box and choose Opus. It is Claude's strongest model and it is the one you want running your setup.
set me up
Type it into the message box in your Prospecting OS Project and press enter.
If you would rather be explicit, Read START-HERE.md and set me up. does exactly the same thing.
Export your Compass contacts when Claude asks
Your only real homework, and it takes about a minute. Claude tells you exactly where to click when the moment comes. Section five below has the full walkthrough if you want to read it first.
Two small things Claude will ask for after that: adding the exported file to your Project, and approving one permission so it can schedule your morning brief. Both are a single click.
If a screen does not look like this guide
Claude changes its layout from time to time and Compass renames its buttons. If a label on your screen is a little different, tell Claude what you are actually looking at and it will point you at the right button rather than guessing.
What Claude does next
Nine steps. You do not have to do any of them yourself. This is here so you can follow along and know nothing has gone wrong.
1. It confirms the office
It lists what is in your Project and checks all nine starter files arrived. A progress checklist appears so you can watch boxes tick off, and every step ends by telling you where you stand.
2. It audits what you already have
Can it read your Gmail, your Calendar, your Drive? Is there already a Voice file, a Constitution, a database, a scheduled Morning Brief? Anything already done is marked done and skipped, and it tells you your starting score, something like “4 of 9 already done.” If a connector is not working, it fixes them one at a time and puts the connect button right in the chat.
3. It asks for your Compass export
The only real homework in the whole setup. Section five covers it.
4. It builds your database
It reads your export, merges duplicates, sorts everyone, and writes one master file. It reports the counts out loud and shows you anyone it was unsure about. Section six covers what it builds.
5. It learns your voice
If you built a Voice file in your AI OS it carries straight over and this is skipped. If not, Claude tells you first that it is about to read your sent mail only, to learn your style, then writes your Voice file and shows you two real sample lines from it.
6. It runs your first Morning Brief, live
The moment it becomes real. It reads your inbox and calendar, drafts replies to any new leads, drafts your touchpoints, and shows you the brief. Then it tells you to go and look in your Gmail Drafts folder, because the drafts are already there.
7. It teaches you the sentences
The handful of things you say to run this from now on, and it writes them into a cheat sheet you can print. Then it has you try one immediately.
8. It schedules your Morning Brief
Claude creates the scheduled task itself. You approve one permission request and that is your entire involvement. If you already had a Morning Brief from your AI OS, it updates that one rather than adding a second.
9. It builds your X-Ray
The finale. Your whole book of business scored out of 100, live on your screen. There is a whole page about it.
How you know it is finished
Look at your left sidebar. Your Morning Brief will be sitting there in your scheduled tasks. That is what installed looks like, and Claude checks for it before it tells you setup is done.
If you get interrupted at any point, nothing is lost. Say “continue my setup” in your Project whenever you come back and it picks up exactly where it stopped.
Your Compass export
The only real homework. It takes about thirty seconds.
Sign in to Compass and open Contacts
Click Actions, then Export
Name it prospectingOS export
Any name works, but using this one means Claude never has to ask you which file it is.
Select All contacts data and include notes
This one genuinely matters. Your notes are what make every email sound like you actually remember the person, rather than like a mail merge. Without them the drafts get noticeably worse.
Click Export contacts
Do not try to filter down to your past clients, and do not try to pick people. Compass cannot filter the export by tag or group, so attempting it only gets you stuck. Export everything and let Claude sort it out, which it is good at.
Add the downloaded file to your Project
It lands in your Downloads folder. Use the + button to add it to your Prospecting OS Project and tell Claude you are done. You do not need to rename it.
Your Compass CRM is not Compass AI
These are two different products and they get confused constantly. What you want here is your Compass CRM, the place your contacts already live. Compass AI is something else and is not involved in any of this.
Your database
One file, called database.csv, living in your Project. It is the single source of truth for everything the system does.
| Column | What it holds |
|---|---|
Name | One row per person. Couples and households stay together as one row. |
Email | From your export where it exists, blank where it does not. |
Phone | Pulled from every phone column in your export, preferring a mobile. |
Relationship | One of five values. See below. This is the important one. |
Property/Home info | Neighborhood, past property, addresses, whatever your export holds. |
Source | Where the contact came from, where your export records it. |
Last Drafted | Stamped when Claude writes a draft for someone. |
Last Contacted | Moves only when you say you sent. |
Notes | Real context from your export, plus anything useful Claude finds later. |
The two date columns, and why there are two
This is the part people get wrong, so it is worth being clear.
Last Drafted is stamped automatically the moment Claude writes a draft for someone. It is what stops anybody being approached twice inside sixty days, whether or not you ended up sending the first one.
Last Contacted only moves when you say “I sent them.” It is what your health score is built on.
The reason they are separate: if drafting counted as contacting, your score would climb every morning whether or not a single email ever left your outbox. Keeping them apart means the number on your X-Ray reflects what you actually sent.
The five relationships
| Value | Means |
|---|---|
Past Client | Transacted with you, or clearly a former client. |
Sphere | Someone you actually know who has not done a deal with you. |
Cold Lead | A real buyer or seller prospect who never transacted. |
New Lead | A fresh inquiry that just came in. |
Review | Set aside. Never contacted until you say so. |
Review is the safety net. Read this one.
Review means set aside, not deleted. Your title rep, your lender, your photographer, the software companies you pay, and every no-reply address end up here. Nothing in the system will ever draft a message to a Review contact, on any screen, under any circumstances.
Say “show me my review list” to see everyone there, grouped by the reason they were set aside. One sentence brings anybody back, like “move Denise Okafor to Past Client.”
It works in the other direction too, and this matters more than it sounds. Someone with a title company or a lender email address who also has a property, a closing date, or one of your own Compass tags is treated as the real relationship they are. Claude never sets someone aside on the strength of their email domain alone, because those people are frequently your best clients and your best referral sources.
A snapshot, not a live connection
Your database is built from the export you did. It is not wired into Compass, so people you add there later do not appear here on their own. Section nine covers keeping it current, and it takes two minutes.
The three engines
All three come inside the download, already built. There is nothing to paste and nothing to configure.
The Morning Brief
Runs itself, every weekday. Your day laid out with prep for each appointment, the promises you still owe, every new lead answered in a draft, and your daily touchpoints written and waiting.
You do not run this one. It arrives.
Past Client Prospecting
“Run the prospecting.” The engine behind your daily notes, runnable any time you want to reconnect with more of your people.
It shows you who it picked and why, and stops. Nothing is written until you approve, swap someone out, or ask for more.
Lead Rescue
“Run the rescue.” It goes back through your email for the listing appointments, valuations, consultations and offers that went quiet, and adds those people to your database as cold leads.
Same rule: it shows you five and waits for your go-ahead.
What all three have in common
None of them drafts from the surface. Before writing to anyone, each one reads your actual email history with that person, so the note references something real: the home they bought, the move they made, the thing you last talked about. If someone has too little history to say anything genuine, Claude tells you plainly instead of inventing something.
The sentences you use
This is the whole interface. Say these in your Prospecting OS Project.
| Say this | And it does this |
|---|---|
Run the prospecting. | Finds the people most due for a personal note, shows you who and why, and waits. |
Run the rescue. | Digs through your email for cold leads, adds them to your database, and shows you five worth reviving. |
Show me my X-Ray. | Rebuilds your Book of Business dashboard with current numbers. |
Show me my review list. | Prints everyone set aside, grouped by the reason. |
I sent them. | Logs the last batch as actually contacted. This is what moves your score. |
Read COACH.md and help me. | Turns Claude into your Prospecting OS coach when something is not working. |
You are not limited to these
Say what you want the way you would say it to an assistant. “Make Roger's note a little more casual.” “Give me ten today.” “Tag the Hendersons as Past Client.” “Swap number three.” It adjusts on the spot, and if you tell it a lasting preference it remembers.
Keeping it sharp
Refresh your export
Monthly or quarterly, pick one and put it on your calendar. Export from Compass again, add the file to your Project, and say “fresh export, update my database.” Your notes, tags and history are all kept. It adds and fills in, it never overwrites and it never deletes anyone.
Refresh your voice
About once a quarter. Your writing changes as your business grows, and five minutes keeps every draft sounding like the agent you are now.
Check your X-Ray
Every week or two. It is the fastest read on whether the system is actually moving your book, and the pillars double as your to-do list.
When something goes wrong
Every problem here has a boring, fixable cause.
I do not see Opus in the model picker
You are on the free plan. Opus needs Pro or higher. Upgrade at claude.ai/settings, then quit and reopen the desktop app.
Claude cannot see my email or calendar
The connector is off, or you are signed in with the wrong Google account. Go to Settings, then Connectors, and connect Gmail, Google Calendar and Google Drive. Sign in and click Allow. Then ask Claude to read your three most recent email subjects back to you. That is the proof.
Claude says files are missing
The download did not attach properly. Click the + button in your Project, pick the Prospecting OS file from your Downloads again, and say “continue my setup.” Do not unzip it and do not add files one at a time.
I cannot find the export in Compass
Contacts, then Actions, then Export. Name it prospectingOS export, select All contacts data and include notes, then click Export contacts. Compass moves its buttons around, so if a label looks different, look for Contacts first, then Actions.
The drafts are not in my Gmail
Check three things in order: did the run actually finish, is Gmail connected, and are you looking in Gmail then Drafts. Nothing is ever sent, so nothing can be lost. At worst you redraft.
My morning brief did not show up
Check the task is still in your sidebar and set to weekday mornings. Then check where you are looking: a scheduled run lands in your scheduled tasks area, not in your Project chat. If the task has disappeared, Claude can rebuild it with you in two minutes.
I am getting two morning briefs
You have an older one from your AI OS as well as a new one. Open your scheduled tasks, keep one, delete the other, and make sure the one you keep is the Prospecting OS version. Claude will sort out which is which if you ask.
The emails do not sound like me
Your Voice file is thin or missing. Ask Claude to check for it. If it is missing you can build it in a few minutes from your sent mail. If it exists but sounds off, just say what is wrong and Claude updates the file.
There is a coach built in
For anything not on this list, say the line below. Claude asks what you were trying to do, checks the real thing instead of guessing, and walks you out of it one step at a time.
Read COACH.md and help me.
In your Prospecting OS Project. Today or six months from now.
Getting help
Anything you are stuck on, email your CSM (Coaching Success Manager) at info@chiragshahcoaching.com and they will point you in the right direction.
That includes the things that are not really Prospecting OS problems: if you have not started or finished your AI OS, or your Constitution is still sitting half done, your CSM can help you get that sorted so this install goes smoothly.
We also have a done-for-you one-on-one option. Reach out to your CSM for details.
